Supervisory Committees

Students must declare their Supervisor as soon as possible after admission

The supervisory committee mentors and helps the student develop a program of study leading to a degree. The committee reports to the graduate program committee at least once a year on the student's progress. (GGR. 1.6.4). The appointment of a supervisor should occur as soon as possible after the student’s admission to the graduate program, but normally no later than the student’s second term. (GGR. 1.6.3)

Committee Composition

"The minimum composition for the supervisory committee consists of the supervisor (or co-supervisors) and at least one committee member chosen in consultation with the student. The committee member must be a faculty member, adjunct professor or research associate at ¶¡ÏãÔ°AV. A suitably qualified individual may be eligible to serve as an additional committee member." (GGR 1.6.4)

Co-Supervision

If you are thinking about having 2 supervisors, please read through GGR 1.6.5 Co-Supervision, and submit the Change of Supervisory Committee form. Make sure to clearly indicate who your co-supervisor is on your form.

Examination

As per GGR. 1.9.1c, supervisory committee members are not allowed to serve as examiners or defence chairs during thesis defences for students whom they supervise.

Declaring Supervisor & Supervisory Committee

One you have identified your supervisor, you will need to submit forms to proceed with the approval process. Students will first need to download the applicable form, fill it in with the required information, and then submit completed forms via Coursys for the School to review.

Appoint Supervisor

To appoint a supervisor, the whole supervisory committee, or the rest of the supervisory committee if only the supervisor is appointed previously, complete the Approval Form.

To add or remove members on your supervisory committee, or add a co-supervisor, complete the form below. If you are adding a co-supervisor, please have both co-supervisors sign the form.

Graduate Progress Report (GPR)

All MSE MASc and PhD students need to meet with their supervisory committee at least once a year and submit a Graduate Progress Report to the university.

Keeping your progress report up to date is important to maintain your eligibility for financial awards such as Graduate Fellowships. Please make sure to check the status of your GPR on go¶¡ÏãÔ°AV.

  • GPRs are due annually starting with your 3rd term in the program
  • Effective Summer 2023, PDF progress reports are being retired. All progress will now be reported using online Graduate Progress Reports (GPR). Make sure all your committee members are in the system in preparation for your GPR invite.

GPR Instructions

External Committee Members

External committee members on supervisory committees will need to fill out a confidentiality agreement in order to access go¶¡ÏãÔ°AV and add their comments to the GPR. If you have an external member on your committee, please get in touch with the MSE admin office to arrange this.

Students will receive their first GPR invite as they begin their 3rd term in the program. GPR invites are sent via email - students are encouraged to check their emails regularly. Learn More here.

Academic Progress Report (APR)

This is a report available via your go¶¡ÏãÔ°AV Student Centre that lists the courses you have taken, and how these courses are being counted towards your program requirements. Students can access their APRs via go¶¡ÏãÔ°AV. If you believe there is an error on your APR, you can  to get it fixed.
