Copies of the original, signed agreements negotiated between ¶¡ÏãÔ°AV and employee bargaining groups.
These are vital records copies, stored off-site in the University Records Centre (URC) as an emergency backup to the originals, in the event that the originals are lost, destroyed or damaged. Original Agreements are kept by Human Resources with other Employee Relations subejct files.
These records are created, used, retained and managed in accordance with the following authorities:
Collective Bargaining Agreements (CBAs) have been identified as vital records requiring off-site, secure storage of a copy. Retention of the vital records copy is required as long as the Agreement is still in force. The copy can be destroyed when a new CBA is signed. The originals will eventually be transferred to Archives along with other Employee Relations files.
Human Resources (OPR)
When a new CBA is signed, retain the original in departmental files, send a copy to Archives for storage.
Other departments (Non-OPR) Retain reference copies of CBAs for as long as needed. Recycle when no longer required. Do not send these records to the University Records Centre.
RRSDA is in force.
