Description, purpose and use of records

Records created and used in the course of supporting the administrative and operational activities of the Human Resources Department.

Records include correspondence and memoranda, policies and procedures, agendas and minutes of committee and other meetings, reports, program proposals, studies, statistics, copies of brochures, bulletins and other generally distributed materials.

The records are filed according to a block numeric classification system.

Note: Subject files for specific programs and offices within Human Resources have been scheduled under separate RRSDAs:

This schedule should be used for the subject files pertaining to the work of the Department as a whole, and its relations to other University Departments and to external organizations.

These records are created, used, retained and managed in accordance with the following authorities:

Retention and filing guidelines

At the end of the active retention period and before the records are transferred to the University Records Centre the following documents are culled and destroyed: chronological correspondence (flimsies); courtesy correspondence; copies of Senate and Board of Governor committee minutes and summaries (unless annotated); copies of routine financial papers and other records retained by Financial Services; publications; bulletins and brochures; draft documents which were superseded by final versions (unless annotated with unique information); rough notes and working papers (unless particularly relevant to a decision document or policy).

RRSDA is in force.
