Description, purpose and use of records

Records made or received and used in support of the administrative and operational activities and responsibilities of the Associate VP Academic Office.

Records include correspondence and memoranda, policies and procedures, budget papers, financial reports and transaction records, reports, program proposals, studies, statistics and working papers, copies of brochures, bulletins and other generally distributed materials.

The Associate VP Academic reports to the Vice-President Academic and is responsible for academic matters relating primarily to students.

Retention rationale

There is no fixed term for an Associate VP Academic appointment, but by convention the term of appointment is five years. The total retention period ensures that records of a former Associate VP Academic will remain under the custody and control of the Office and be available for use by a successor.

Retention and filing guidelines

At the end of the active retention period and before the records are transferred to the University Records Centre cull and destroy the following documents:
